Free place card templates cover most events. They open in standard software, accept guest names by direct edit or mail merge, and print onto inexpensive card stock or pre-cut sheets.
Where free templates work
Microsoft Word, Google Docs, and LibreOffice all open downloadable place card templates without conversion. Word handles the broadest range of layouts because most template files are authored as .docx with table-based card grids. Google Docs imports those files reliably; complex layouts may need minor cleanup after import. LibreOffice opens the same files through the standard document path. For weddings or events that need a particular look — script lettering, themed borders, foil-effect graphics — free templates may need adjustment to match. Change the typography or colours rather than rebuilding the layout from scratch.
Editing for guest names
For small events — under thirty guests — direct editing is fastest. Open the template, click into each card cell, and replace the placeholder text. Save before printing. For larger lists, mail merge replaces direct editing entirely. Build the guest list in Excel or Google Sheets, link it to the template, and let the merge populate every card from the list. The mail merge approach also catches problems early: if a name is too long for the card or a row is missing, the preview shows it before any paper is wasted. Tent vs flat templates
Tent and flat formats use different template files. Tent templates put two copies of each name on a single card cell, mirrored across a fold line, so both halves of the folded card show the name. Flat templates put one name per cell. The two formats are not interchangeable — printing a flat layout onto pre-scored tent stock produces a card with the name on only one face. Printing on Avery sheets
The most common compatible sheets are Avery 5302 (8-up tent cards), 8395 (8-up tent cards, perforated), and 5305 (10-up flat cards). Word’s built-in Avery template chooser includes layouts for each, accessible through Mailings > Labels > Options. If a downloaded template doesn’t list a compatible product code, check the cell dimensions against the Avery sheet specification before buying paper.
